1. Purpose
This policy outlines DPLAN’s stance on refunds for membership dues, fees, certification payments, event registrations, training, and other payments made for DPLAN services. The goal of this policy is to ensure clarity, fairness, and financial stability for the Association.
2. Scope
This policy applies to all members, non-members, participants, sponsors, or any person or organization who makes a payment for DPLAN’s membership, events, trainings, workshops, certifications, or related services.
3. General Refund Principle
DPLAN has a strict non-refund policy for membership dues. Once a membership payment is made, whether for a new member or a renewal, it is non-refundable under all circumstances, even if the member does not use the benefits. Refunds for other services, such as trainings, workshops, certifications, or events, may be granted under limited, specific conditions.
4. Refund Requests: Timing & Process
Refund requests must be submitted in writing to the DPLAN Secretariat within three days of payment. Requests must include the payer’s name, invoice or transaction number, payment date, a description of the service or event, and the reason for the refund. For events, trainings, and certifications, a refund must be requested at least three days after payment.
5. Exceptions / Cases Where Refunds Will Not Be Granted
Refunds will not be issued in the following situations:
- Service/Event Already Delivered or Participated In: No refund will be given for the portion of a service already delivered or utilized, such as a training, workshop, certification exam, or membership period that has already begun, or if the materials have been made available.
- Late Cancellation: Cancellations made more than three days after payment are not eligible for a refund.
- Customized / Personalized Services: Refunds are not granted for services that are personalized or tailored, as it would be difficult or impossible to reuse those resources.
- Non-attendance / No-show: If a person fails to attend an event, training, or certification without prior notice, the fee is non-refundable.
- Membership Dues After Renewal: Once membership has been renewed and the period has started, dues are not refundable even if the member decides not to use the benefits.
- Administrative / Processing Costs: Any refund that is issued may have administrative or processing fees deducted to cover costs DPLAN has already incurred.
6. How to Request a Refund (in exceptional cases)
For a refund to be considered under the “Exceptions” section, the request must be made in writing to DPLAN’s Treasurer within three days of payment or of becoming aware of the issue. The request should include the following:
- Name of the person or organization
- Membership number or invoice/transaction number
- Details of the payment (date, amount, service)
- Reason for the refund request
DPLAN will review the request, and if approved, the refund will be processed via the original payment method within 15 business days of approval.
7. Modifications to the Policy
DPLAN reserves the right to change or amend this policy at any time. Any modifications will apply to payments made after the change date. Payments made before the change will still be subject to the policy that was in effect at the time of payment.
